Cancellation & Refund Policy

At Kabeer Travels, we understand that travel plans can change. This Cancellation and Refund Policy outlines the terms and conditions for cancellations and refunds on our tour packages and travel services.

  1. CANCELLATION POLICY

1.1 Tour Packages

  • Cancellation 30 days or more before departure: 10% of total package cost will be deducted
  • Cancellation 15-29 days before departure: 25% of total package cost will be deducted
  • Cancellation 7-14 days before departure: 50% of total package cost will be deducted
  • Cancellation less than 7 days before departure: No refund available
  • No-show or cancellation on departure day: No refund available

1.2 Flight Bookings

  • Flight cancellations are subject to airline-specific cancellation policies
  • Cancellation charges as per airline rules will apply
  • Service charges are non-refundable

1.3 Hotel Bookings

  • Hotel cancellations are subject to individual hotel cancellation policies
  • Generally, cancellations made 48-72 hours before check-in may receive partial refunds
  • Peak season bookings may have stricter cancellation terms

1.4 Special Tours (Hajj, Char Dham, International Tours)

  • These packages have specific cancellation terms due to visa processing and advance bookings
  • Cancellation charges may be higher and are communicated at the time of booking
  1. REFUND POLICY

2.1 Refund Processing Time

  • Approved refunds will be processed within 10-15 business days
  • Refunds will be credited to the original payment method
  • In case of online payment, refund will be credited to the source account

2.2 Refund Calculation

  • Refund amount = Total package cost – Cancellation charges – Non-refundable components – Service charges
  • Non-refundable components include: Visa fees, travel insurance, service charges, and any pre-booked non-refundable services

2.3 Partial Refunds

  • If you wish to cancel only certain services within a package, partial refunds will be calculated proportionately
  • Additional administrative charges may apply for partial cancellations
  1. MODIFICATION POLICY

3.1 Date Changes

  • Date changes requested more than 30 days before departure may be accommodated subject to availability
  • Modification charges may apply based on booking type and timing
  • Price difference (if any) must be paid by the customer

3.2 Package Upgrades/Downgrades

  • Upgrades can be arranged subject to availability with additional payment
  • Downgrades may attract cancellation charges on the reduced components
  1. FORCE MAJEURE
  • In case of cancellations due to natural disasters, political unrest, pandemics, or other force majeure events, refund terms will be reviewed on a case-by-case basis
  • We will work with service providers to maximize refunds for our customers
  • Service charges and non-recoverable costs may still be deducted
  1. NON-REFUNDABLE ITEMS
  • Visa processing fees
  • Travel insurance premiums
  • Service charges and booking fees
  • Peak season surcharges
  • Pre-arranged special services (specific guides, private transfers, etc.)
  1. HOW TO REQUEST CANCELLATION
  • Send a written cancellation request via email to our customer service
  • Include booking reference number and reason for cancellation
  • Cancellation date will be considered as the date we receive your written request
  • Verbal cancellations are not accepted
  1. REFUND FOR UNUSED SERVICES
  • No refund will be provided for any unused services during the tour (missed transfers, meals, sightseeing, etc.)
  • No refund for early departure or late joining of tours
  1. SPECIAL CIRCUMSTANCES
  • Medical emergencies: Please contact us immediately with supporting medical documentation
  • We will make reasonable efforts to accommodate genuine emergency situations
  • Travel insurance is strongly recommended to cover such eventualities
  1. GROUP BOOKINGS
  • Group cancellation policies may differ and will be communicated separately
  • Minimum group size requirements must be maintained; otherwise, package pricing may change
